1. What You've Purchased

The Orphan Management System (OMS) is a complete PHP/MySQL platform built to run every side of an orphanage or community centre's operations: the children in your care, the people who support them, the staff and volunteers who run programs, and the public website that tells your story and brings in donations.

It's a single self-contained application — no external SaaS subscriptions, no per-user licensing fees, no dependency on a third-party platform staying in business. You own the code, you own the database, and it runs on ordinary shared hosting.

This is real software, not a demo shell. Every feature listed above is a fully working module with its own database tables, admin screens, and (where relevant) public-facing pages — not placeholder UI.

2. System Requirements

This system was built and tested on ordinary cPanel shared hosting — you do not need a VPS, dedicated server, or any special hosting plan.

3. Installation Guide

Step 1 — Upload the files

Upload the entire application to your hosting account, either to your domain's document root (if this will be the only site at that domain) or to a subfolder (e.g. /oms/) if you're running it alongside other sites.

Step 2 — Create a database

In your hosting control panel, create a new, empty MySQL database and a database user with full privileges on it. Note down the database name, username, password, and host (usually localhost).

Step 3 — Run the installer

Visit https://yourdomain.com/install/ in your browser. The installer walks through six steps:

  1. Requirements check — confirms your server meets the requirements above
  2. Database connection — enter the database details from Step 2
  3. Schema setup — creates every table the system needs automatically
  4. Admin account — set your organization's name and your own admin email/password (this replaces any placeholder/demo login — no test accounts are left behind)
  5. Sample data — optionally load realistic demo content (sample orphans, donors, causes, blog posts, etc.) so you can see the system fully populated before adding real data
  6. Finish — writes your database configuration and locks the installer so it can't run again by accident
Security note: once installation is complete, consider deleting the install/ folder entirely, or at minimum leave the install/installed.lock file in place — its presence is what prevents the installer from being run a second time and wiping a live site.

Step 4 — Log in

Visit https://yourdomain.com/?page=login and sign in with the admin email and password you set during installation.

4. First Login & Initial Setup

Once logged in as an admin, we recommend this order for initial setup:

  1. Site Settings (sidebar → Administration) — set your organization's name, tagline, contact details, address, social media links, and map embed code.
  2. Upload your logos — see the Branding section below.
  3. Module Settings — enable only the modules you actually plan to use; everything is included, but you don't have to turn it all on immediately.
  4. Public Site content — fill in the Hero Slides, About section, Programs, Terms of Service, and Privacy Policy with your organization's real content.
  5. Provider Settings — connect your payment gateway(s) if you'll be accepting donations, and your email sending service.

Every admin page follows the same pattern: a searchable/filterable list, a modal for adding or reviewing a record, and — where relevant — a PDF download option for individual profiles, applications, and certificates.

Logos

Under Site Settings, upload two logo variants:

Two demo logo files are included with this package as a starting example — see demo-logos/logo_dark.png and demo-logos/logo_light.png. Replace these with your own organization's artwork.

Favicon

A default favicon is bundled and used automatically. Upload your own under Site Settings to replace it.

Theme Colors

The system ships with a forest-green-and-gold default theme, applied consistently across both the public site and the admin backend. Additional themes can be added by a developer via the app/Core/Theme.php palette definitions.

9. Demo Data

If you loaded sample data during installation, you'll see example orphans, donors, causes, projects, testimonials, blog posts, and more throughout the system. This is clearly placeholder content, meant to help you see the system fully populated. When you're ready to go live:

10. Common Tasks Walkthrough

Reviewing a new orphan application

  1. Sidebar → Orphan Care → Applications
  2. Click the eye icon to review the full application, including uploaded documents
  3. Approve, reject, or request more information
  4. Download a PDF copy of the application at any time

Setting up a sponsorship

  1. Ensure the child has an approved, unsponsored orphan record
  2. Sidebar → Orphan Care → Sponsorships → New Sponsorship
  3. Select the donor and the child, set the monthly amount and start date

Publishing a blog post

  1. Sidebar → Website & Content → Blog → New Post
  2. Write your content, add a cover image, publish
  3. Manage the sidebar's custom widgets from Website & Content → Blog Sidebar

Generating a certificate

Certificates (volunteer service, Quran memorization milestones, etc.) are generated from their relevant module and include a verification code — anyone can confirm a certificate's authenticity at yourdomain.com/?page=verify-certificate&code=...

11. Troubleshooting & FAQ

The site shows a blank page or a PHP error

Check your hosting's PHP error log (usually in cPanel → Errors, or a file like error_log in your site's root). Almost all issues trace back to either a PHP version mismatch or a missing extension — see the Requirements section.

I forgot my admin password

Use your database tool (phpMyAdmin) to update the password_hash column on the users table directly, or ask your developer to add a password-reset flow if you'd like one built in.

Can I run this alongside other websites on the same hosting account?

Yes — install it in a subfolder (e.g. /oms/) and the system automatically detects and adjusts to that path.

Do I need to keep paying for anything after purchase?

No subscription is required to run the core system. If you connect optional third-party services (an SMS gateway, a payment processor, TinyMCE's rich-text editor at high volume, etc.), those may have their own separate costs — the same as any website using such services.
